Privacy Notice
This notice explains how Sul-Fit Carpenters Limited (“Sul-Fit”, “we”, “us”) handles personal information collected through this website. It covers project enquiries sent through our contact form and applications sent through our Work With Us form. We are the data controller for that information under UK data protection law.
Information we collect
Project enquiries. Your name, company, telephone number, email address, project or development name, project location, expected start date, your message, and any tender, drawing, specification or other documents you choose to upload.
Work With Us applications. Your full name, telephone number, email address, location, main areas of carpentry, years of experience, CSCS / qualifications / training details, current availability, any additional information you give us, and any CV, card or certificate you choose to upload.
Technical information. When a form is submitted we record the submission time, a shortened record of your browser type, and a one-way encoded (hashed) form of your IP address. The hashed value cannot be read back as your IP address; we use it only to limit automated and repeated abusive submissions.
Please do not upload documents containing information you do not want us to hold, such as bank details, national insurance numbers, passport or driving licence scans, or health information. We do not ask for these.
Why we use it and our lawful basis
- To respond to your project enquiry, price carpentry packages and manage work for clients. In plain terms, we use your information because it is in our legitimate business interests to answer enquiries about our services and, where we go on to work together, because we need it to perform or prepare a contract.
- To consider you for carpentry work. We use your application details because it is in our legitimate interests to recruit and resource skilled carpenters, and because you have chosen to send them to us with a view to possible engagement.
- To keep the website secure and prevent spam and abuse. This is in our legitimate interests in protecting our systems.
- To meet legal, tax, health and safety and record-keeping obligations where these apply to work we carry out.
Files you upload
Uploaded files are stored in a private storage area that is not publicly listed or browsable. They are not published on the website. Where a member of the Sul-Fit team is notified of a submission, any link to an uploaded file is time-limited and expires.
How long we keep it
We keep enquiry and application records only for as long as there is a genuine business need. As a general approach, unsuccessful or inactive enquiries and applications are reviewed and deleted when they are no longer relevant — typically within about 12 months for enquiries and up to about 24 months for applications, so we can contact you if suitable work arises. Records connected to work we actually carry out are kept for longer where contract, tax, insurance or health and safety requirements apply. You can ask us to delete your details sooner at any time.
Security
Submissions are sent over an encrypted connection, stored in access-controlled systems, and are not readable by other website visitors. Form submissions are validated and rate-limited on our server, and access to stored enquiries, applications and uploaded files is restricted to Sul-Fit and its service providers acting on our instructions.
Sharing and service providers
We do not sell your personal information and we do not use it for unrelated marketing. We share it only where necessary with:
- the technology providers that host this website, its database, its file storage and the email notifications we receive, acting on our instructions as processors;
- clients, main contractors or principal contractors where this is necessary for a project you are involved in (for example site access, competence or CSCS verification), and only where relevant;
- our professional advisers, insurers or accountants, and public authorities where we are required to do so by law.
Some providers may process information outside the UK. Where that happens, we rely on providers that offer protections recognised under UK data protection law, such as approved international transfer safeguards.
Your rights
You have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask for deletion, to ask us to restrict how we use it, to object to processing we carry out on the basis of our legitimate interests, and to receive certain information in a portable format. You can also complain to the UK Information Commissioner’s Office (ICO), which regulates data protection in the UK, if you are unhappy with how we have handled your information.

Cookies and analytics
This website does not use advertising cookies, tracking cookies or third-party analytics. We do not set cookies for marketing or profiling. The site loads web fonts from Google Fonts, which means your browser makes a request to Google’s servers to download the font files. If we introduce analytics or any non-essential cookies in future, we will update this notice and ask for consent where required.
Children
This website and its forms are intended for business and employment use by adults. We do not knowingly collect information from children.
Changes to this notice
We may update this notice from time to time to reflect changes to the website or how we handle information. The current version is always the one published here.
